Plan more trips with less legwork.
AI runs through the whole system: Samurai reads the orders out of your mailbox, builds the quotation, matches your charter invoices and invoices the trip. Planning is the one step still done by hand, and we are working on that.
AI across orders, quotations and invoices · from €30 per truck per month · your data stays yours
Connects with what you already run
Why Samurai
Built for more margin, not more overhead.
Four things that decide whether a TMS actually helps or just adds work. In three of them, AI does the groundwork.
Never retype an order again
Your customer's email becomes an order on its own, complete with container number, time window and addresses.
One planning board, no Excel
Unplanned orders, your own trucks and charters in one view, with an alert the moment a trip stops fitting.
Margin before you say yes
Route, tolls and waiting time are worked through to a cost price, sitting next to your selling price on the order.
Invoices that check themselves
Trips move through to invoicing, and AI sets the charter invoices against the trip and the rate.
Samurai is the Bonsai TMS for road transport: one system where orders arrive, trips get planned, drivers receive their work and invoicing follows automatically. Built alongside hauliers, in the language of the planner, without the hundreds of screens you never open.
Samurai is our own product, offered as SaaS with a transparent margin and open books. You pay a one-off onboarding fee and then a monthly amount per active truck. The rate per truck drops as your fleet grows, and your data stays yours.
Who it is for
Hauliers running roughly ten to a hundred trucks who have hit the limits of a previous-generation TMS, or whose planning in practice lives in Excel and WhatsApp.
- Order intake: requests arrive by email, portal or integration and land straight in as an order
- Planning and dispatch: assign trips to drivers, tractors and trailers on a single board
- Charters and hired-in carriers alongside your own fleet, on the same board
- Equipment: tractors, trailers, containers and chassis with status, inspections and availability
The product
Ten modules, one system.
Orders, quotations and purchase invoices already run on AI. Add automated planning and the line from email to invoice is close to fully automated, with the planner making the calls.
AI order intake
Transport orders arrive the way customers send them: an email with five containers, an attachment, a run of delivery times in free text. Samurai reads the email, works out how many orders it holds and sets them up with container number, time window, carrier and addresses.
- One email becomes several orders automatically, with no copy and paste
- Two models check each other, and differences reach the planner as a spot-check
- Every field stays traceable to the line it came from in the original email
Planning board & dispatch
One board with your unplanned orders on the left and your fleet across the days on the right. Drag an order onto a truck and you see at once whether the window holds, whether the equipment fits and what is still running empty. Charters sit alongside your own fleet, so hiring in is a choice rather than a last resort.
- Unplanned orders, own fleet and charters in a single view
- Alerts when time windows, capacity or inspections clash
- Status changes from the trip feed straight back to the board
Automated planning
The next step: Samurai proposes a plan itself. Working from driving times, time windows, capacity and empty kilometres, it puts forward a suggestion per order, with the reasoning and a confidence score alongside. The planner accepts it, adjusts it or sets it aside.
- A suggestion per order, with reasoning and a confidence score
- Aimed at fewer empty kilometres and better-used trucks
- The last manual link in the chain from email to invoice
- The planner always decides; the system never plans unseen
Rates, route and margin
For every order Samurai works the route, the kilometres, the tolls and the waiting time through to a cost price, and puts it next to your selling price. You see the margin before you take the trip on, not at the month-end close.
- Route and tolls calculated automatically and recorded per lane
- Cost price, selling price and margin side by side on the order
- From order to quotation without redoing the costing
AI quotations
A request that is not an order yet gets read and costed into a quotation: lane, tolls, waiting time and surcharges filled in, using the rates that apply to this customer. You look at the margin and send it, instead of filling in a template.
- AI fills the quotation from the request and the costing; you check the price
- Margin and validity visible before the price leaves the building
- On acceptance the quotation becomes an order, with nothing retyped
Relations & contracts
Customers, carriers, terminals and contacts in one register, together with the agreements that apply per relation: rates, terms, references and the way their orders come in.
- One register for customers, carriers and terminals
- Rates and terms per relation, usable straight away in the costing
- Contacts and references right where the planner needs them
Fleet & equipment
Tractors, trailers, chassis and containers with their status, suitability and inspection dates. That way the planning board knows not just which truck is free, but whether the equipment can take the load and whether its inspection still holds.
- Equipment with status, suitability and inspections
- Utilisation per week, so you can see where capacity is left idle
- A warning before an inspection or service date runs out
Invoicing & financials
Completed trips move through to the invoice run carrying their rate, waiting time, tolls and recharges. You check whatever looks off, and the rest goes to your bookkeeping in one go.
- An invoice run per week or per customer, with checks on the exceptions
- Recharges such as tolls, waiting time and surcharges come along automatically
- Export to Exact, AFAS or Twinfield, with nothing keyed in twice
AI purchase invoices
Invoices from charters and carriers arrive as a PDF or an email. Samurai reads them and sets every line against the trip that ran and the rate that was agreed. What matches posts through to your bookkeeping, and only the difference reaches review.
- Invoice line, trip and agreed rate lined up automatically
- Only the exceptions land on your desk, with the reason alongside
- Approved invoices move on to Exact, AFAS or Twinfield
Driver app
The trip in the driver's hand: accept it, report arrival, take photos at loading and unloading, upload documents and fill in a digital damage form. The planner sees the status without picking up the phone.
- Trip logging, photos and documents straight into the trip file
- Keeps working when the signal drops and syncs later
- A digital damage form, plus messages to the driver

Going live
From enquiry to invoice, in weeks.
One continuous line through your operation, with no need to retype the order along the way.
Order arrives
The transport order comes in by email, portal or integration and is ready as an order, complete with addresses, load and agreements.
Plan it
On the planning board you assign the trip to a driver and equipment. Clashes over timing, capacity or inspections show up straight away.
Run it
The driver receives the trip in the app and files logs, photos and documents along the way. The planner follows the status.
Settle up
Once the trip is done, rates, waiting time and recharges are ready for invoicing, which posts through to your bookkeeping.
Pricing
The bigger your fleet, the less you pay.
You pay per active truck, on a scale that moves with your fleet. No licence bundles, no minimum.
€40
per truck per month
€35
per truck per month
€30
per truck, our lowest rate
You pay a one-off onboarding fee to set up your environment, then a monthly amount per active truck, from €30. The rate per truck drops as the fleet grows, and above a hundred trucks we agree separate terms. Changes to existing flows are billed on a time-and-materials basis, and only ever after you have given the go-ahead.
Work it out for your fleet- Transparent margin, open books
- Your data is yours, no lock-in

FAQ
Good to know.
The questions hauliers ask first about Samurai.
Do we have to change how we plan?+
No. Samurai is configured around your trip types, rates and working agreements. The standard product covers most of it, and anything genuinely different we set up in consultation, with a price agreed beforehand.
What happens to the systems we already have?+
Samurai replaces the TMS, not your whole landscape. Bookkeeping, on-board computers and customer portals stay where they are and we connect to them. If you would rather replace nothing at all, an AI Worker around your current TMS is the better route.
Does the driver app work offline?+
The app is built for the road: logs and photos are held locally when the connection drops and sync as soon as the driver has signal again.
Where does it run and who owns the data?+
Samurai is delivered as SaaS and runs on our side, inside the EU. Your operational data, from trips and invoices to driver records, remains entirely yours and you can export it at any time.
How quickly are we live?+
After onboarding and configuration we go live in weeks rather than months. We start with the trip types that cover the bulk of your volume and expand from there.
